Sure lots of others will give advice on the more usual ways of doing
things Microsoft Small Business server etc but at the size you are (and
many massive companies are now doing similar) there's a lot to be said for
using google apps for your email (gives you the sync and remote access you
need without worrying about any networking/vpn/security headaches) can be
used with outlook etc, calendar sync works great.

then for the files....dropbox maybe?? with a shared company login for the
particular files you're after sharing. not too sure how that would handle
simultaneous editing though.

just one option....a pretty cheap (free) option but its pretty strong, sure
there's other options out there though.
