Important message about net year's meeting please read.

Below is a copy of a email from Stuart. I am trying to get a indication
on numbers, so that we can decide what is the next step, how we can
manage it, who will to the management etc. Please all read the message
>from > list message indicating your requirement and if you are prepared to
share a twin room if necessary. You are not making a commitment yet,
however it is likely that we will be placing a non-returnable deposit
very soon if this is to fly. I have not volunteered to run this (yet)
but we must find numbers before we can take the next step.

To help drum up interest, I would also like a list of what people will
do presentations/demos and on what topics, I will repost a list to help
convince people that it will be worth attending.

I have finally recieved a copy of the contract and Terms & Conditions <= BR> >from
Currently for the weekend of 24/25 May 2003, =A358 per person, based on 2 <= BR> people sharing.

They are currently holding the following

20 Double rooms
10 Single rooms
15 Twin rooms

Thats 75 people.

Price includes, Tea & Coffee, Lunch, meeting room from 11am on the
Saturday to 3 pm on the Sunday.

The terms and conditons do however present an interesting problem which is as follows.

1) It is only possible to reduce the numbers by 15% any more than 15%
and we get charged at 85% of the cost.

2) Cancelation charges are as follows
     4 or more but less than 6 months in advance - 35% = of the TOTAL
package cost
     2 or more but less than 4 months in advance - 50% = of the TOTAL
package cost.
     1 week or more but less than 2 months in advance 7= 5%
     lesss than 1 week 100% of the costs.


Total cost for 75 is =A34350, personally I'm not willing to take this
risk, so I'm going to discuss with the hotel to see if any form of
alternative arrangments can be made, and how easily they could
accomodate additional people.

I guess what would really help is being able to get a FIRM idea of the
numbers. I'm not sure if any discount can be given for partners
requiring accomodation, but not taking part in the meeting, again I'll
ask.

I'm open to comments, suggestions.
